Use this guide when you need to complete routine work on a Nexus laptop, desktop workstation or managed mobile device. Follow it with the IT Security & Acceptable Use policy, Workstation Ergonomics, and Saving and sharing files safely.
Before you start
- Adjust your chair, screen, keyboard and mouse so you can work comfortably.
- Check that cables are tidy, power is connected if needed, and drinks are away from equipment.
- Turn on the device and sign in with your own Nexus account.
- Use multi-factor authentication if prompted.
- Lock the screen with Windows + L or the device lock button whenever you step away.
Find functions and applications
- Use the Start menu, desktop icons or pinned taskbar icons to open approved applications.
- Use Search to find an application, setting or file when you do not know where it is.
- Use the application Help menu or built-in help search before escalating a simple how-to question.
- Contact the Service Desk if a function is missing, blocked, or produces an error you cannot resolve.
Organise files and folders
- Save team files in the correct shared team drive and work-in-progress files in your Nexus cloud folder.
- Create folders and subfolders with clear names that show the purpose of the content.
- Use file names that include the date, topic and version where useful, such as
20XX-07-02_Operations-device-check_v1.docx. - Do not keep the only copy of work files on the desktop, a USB drive or a personal account.
- Rename or move folders only when it helps others find the file and does not break an agreed team structure.
Use input devices
- Use the keyboard for text and number entry, including the number row or numeric keypad where available.
- Use common shortcuts such as Ctrl + C to copy, Ctrl + V to paste, Ctrl + S to save, Alt + Tab to switch apps, and Windows + L to lock the device.
- If a keyboard, mouse, touchpad or touchscreen does not respond, restart the application first and then log a Service Desk ticket if the problem continues.
Add or remove applications
- Approved applications may be available through the Company Portal app.
- Do not install unapproved software or bypass security controls.
- If the application is not available, follow Requesting software and include the business reason.
- Remove only files or applications you are authorised to remove. Ask your supervisor or the Service Desk before deleting shared material or uninstalling software.
Save, close and shut down
- Save changes in each open file or application.
- Close files and applications you no longer need.
- Confirm that important files are saved in the approved Nexus location.
- Sign out, restart or shut down using the operating system power menu.
- Return shared or pool devices to the agreed storage or charging location.

Ask your supervisor if the work instruction is unclear. Ask the Service Desk when the issue is about access, equipment, approved software, system errors or device faults.
