Role purpose
The Operations Support Assistant helps coordinate the flow of work across Operations — scheduling, tracking progress, keeping records current and pulling together the information managers need to make decisions. The role keeps everyday operations organised and on time.
Routine duties
- Coordinate routine jobs and schedules, and keep trackers and registers up to date.
- Collate operational data and prepare simple summaries and reports.
- Follow up outstanding actions and chase missing information politely but persistently.
- Support recurring deadlines such as end-of-month reporting.
- Maintain process documents and update them when steps change.
- Log issues and help coordinate fixes with the right teams.
Limits of authority
- Coordinates and tracks work but does not reprioritise other teams’ work without approval.
- Cannot approve budgets, purchases or changes to agreed schedules.
- Cannot sign off operational reports — prepares them for a manager to review.
- Escalates anything affecting customers, safety or compliance.
Approval requirements
- Changes to schedules affecting other teams — Operations Support Team Leader.
- Operational reports — reviewed and signed off by a manager.
- Any spend or supplier commitment — Operations Manager.
Escalation triggers
- A deadline at risk that you cannot recover on your own.
- Conflicting priorities across teams.
- A safety, quality or compliance issue.
- Missing or inconsistent data that affects reporting.
