Practical ways to prioritise, plan and keep on top of your work — and how to speak up early when there's too much on.

Prioritise urgent and important work

  • Sort your work by what's urgent (time-sensitive) and what's important (high impact).
  • Do the urgent-and-important first; schedule the important-but-not-urgent.
  • Check with your supervisor if two things seem equally pressing.

Estimate how long things take

  • Break a job into steps and estimate each one.
  • Add a little buffer — things often take longer than expected.
  • If your estimate won't fit the deadline, say so early.

Manage interruptions

  • It's fine to finish a focused job before moving to the next one.
  • For quick requests, note them down so you don't lose track.
  • Use chat status or a quiet spot when you need to concentrate.

Notify your supervisor about delays

  • Give a heads-up as soon as you know something will be late.
  • Say what's caused it, the new expected time, and what you're doing about it.
  • A short, early message beats a last-minute surprise.

Ask for clarification

  • If a request isn't clear, ask before you start — it saves rework.
  • Confirm what's needed, the deadline, and the format.
  • Repeat it back in your own words to check you've understood.

Ask for help

  • Asking for help is part of doing the job well, not a weakness.
  • Say what you've tried and where you're stuck.
  • Reach out early rather than when it's already overdue.

Record your progress

  • Keep a simple list or tracker of what's done and what's next.
  • Update shared registers so others can see where things are at.
  • Note any decisions and actions from meetings.

Escalate workload risks

  • If you can't meet everything on time, raise it — don't absorb it silently.
  • Bring options: what could move, what help would unblock you.
  • Your supervisor would much rather know early.
