Finding and updating information in Nexus systems

The systems we use day to day, and how to find and update workplace information correctly.

Most of your work touches information held in a Nexus system. Knowing where things live — and how to update them properly — keeps our records accurate and our customers and colleagues well served.

Finding information

  1. Start with search (top of every page) for policies, people and guides.
  2. Use the staff directory to find who owns an area.
  3. For business data, open the relevant register and use its filters.
  4. If you can’t find it, ask the team that owns it rather than guessing.

Updating information correctly

When you change a record, accuracy matters — other people rely on it.

  • Check you’re allowed to change it, and that you have the right record.
  • Make the change accurately — correct spelling, dates, amounts and codes.
  • Note what changed and why, so there’s a clear history.
  • Save and confirm the update shows correctly.
  • For anything you’re unsure about, use the update-a-record request so the record owner can action and check it.

Keeping information safe

If something looks wrong

If a record looks incorrect or out of date, don’t work around it — flag it to the record owner or log it through the records register so it can be fixed.
